Working as a core member of OWC’s Global Tendering team, you will collaborate closely with technical experts and stakeholders across our international offices to ensure the timely submission of tender documents. You will help to prepare and manage bids ranging from pre-qualification to contract executions.

What will you be doing?

  • Undertake bid preparation activities in partnership with internal teams and external stakeholders.
  • Coordinate the drafting and formatting of bid documentation to ensure clarity, consistency and alignment with client requirements. 
  • Compile documentation required for bids such as financial accounts, certifications, QHSE, social value, and client-signed completion certificates.
  • Ensure that bids are compliant and comply with local regulations and OWC's internal standards.
  • Act as OWC’s point of contact for the administration of European Standard Procurement Documents (ESPDs).
  • Stay updated on changes in EU procurement regulations and ensure internal awareness.
  • Manage tender document control (e.g, QA, QC, filing procedures) and maintain tender databases and document libraries. 
  • Support the maintenance of OWC’s CRM system and manage online procurement portals and other relevant databases. 
  • Contribute to the continuous development of tendering process, tools and templates.
  • Support activities to improve the professional look and feel of our bid documents and related templates.
  • Provide business development and sales administrative support to the Group Growth Director.

What are we looking for?

Ideally, you will have at least 2 years’ relevant experience working in bid administration, tendering support, or similar. More specifically, we are looking for the following: 

  • Proven experience of administering ESPD documents and an understanding of EU public procurement. 
  • Excellent knowledge, ideally advanced level, of Microsoft Office packages such as Word and Excel. 
  • The ability to manage multiple priorities effectively, remain calm under pressure and meet competing deadlines.
  • The ability to work independently and maintain a high standard of accuracy and presentation across all work produced. 
  • Be comfortable handling repetitive tasks and large volumes of documentation or data.
  • Experience with CRM systems and the Adobe suite is desirable.  
  • Fluent in English and Polish. 
  • Experience of working in the renewable energy sector, and fluency in other languages, is a bonus.
