You will provide administrative, project, and document control support to the ABL Senegal office. You will help to ensure the efficient operation of our office and the successful coordination of engineering and consultancy projects. The role supports the Country Manager and our team of engineers and consultants.

What will you be doing?

  • Perform client support duties and provide general assistance to the management as required. 
  • Open job files in an efficient and timely manner and ensure that they are compliant with our quality procedures. 
  • Assist Project Managers in correlating and dispatching invoices, timesheets and expenses.
  • Assist in the preparation and formatting of project documentation, reports, letters and minutes.
  • Support Project Managers in basic project follow-up, tracking actions and preparing meeting materials.
  • Assist in the mobilizing or demobilizing personnel, including hotel bookings, flights and local transport.
  • Organize any visa or access related requirements for travel or site attendance of permanent staff and subcontractors.
  • Organize, store and maintain records of certifications, passes and other personnel documents.
  • Maintain controlled project documentation, including filing, version control, issuing and archiving, in accordance with ABL procedures.
  • Photocopy and print documents and sort and distribute incoming and outgoing post or deliveries.
  • Order and maintain stationery and office equipment and maintain local contracts for office maintenance.
  • Provide support to the preparation of bids and tenders and other business development activity such as updating the CRM as required.  
  • Always comply with ABL Group’s QHSE policies and procedures at ABL premises and client sites.

What are we looking for?

Ideally, you will have at least 3 years’ worth of administration experience. More specifically, we are looking for the following:

  • Computer literate and competence in Microsoft applications such as Word. 
  • Fluent in English and French. 
  • Training or a certification in document control or office and project administration is desirable.
  • Familiarity with document control systems is beneficial. 

Further Information:

This position will be based in Dakar.

You must have the right to live and work in Senegal.  

The job holder will be expected to undertake onshore and offshore client assignments, potentially at short notice.
